Bookings Manager (BM) is a mid-office application providing full call centre bookings management and fulfillment, the production of customer and supplier documententation and sophisticated workflow and operational management capabilties.

BM can be used in a multi-company/brand environment with BM users only having access to the products and prices that are associated with their specific sales and operational responsibilities.

This application provides telephone reservations staff with the ability to sell individual holiday components, create tailor-made holidays, or sell pre-defined packages. Staff are also able to provide quotes, hold options, amend and cancel existing bookings, take part or full payments and have full access to customer and agency details and full customer and booking history.

The Call Centre application can be integrated with telephone, fax and e-mail systems to streamline the reservation process.

Sell-It Suite creates and maintains customer records as a result of queries, quotes or bookings made via both the Call Centre and the Internet. Agents are able to quickly and easily see a complete history of all activies with the customer including both complete and outstanding quotes, bookings or queries and any customer or booking notes and oustanding, overdue or completed actions.

As Sell-It also maintains a record of when each activity took place and by whom so agents can quickly see who a customer talked to and when and what action resulted or is outstanding.

Reservator agents can search for and retrieve existing quotes or bookings and are then able to convert a quote or option to a booking, amend or cancel part or all of a booking, take initial or further payments, make additions e.g. the addition of extra passenger details (such as passport number) that were not known at the time of booking.

Agents are also able to enter ‘on request’ confirmations, view outstanding items associated with the booking, add customer or supplier notes or request actions on behalf of the customer.

Bookings Manager supports the electronic or physical production of a variety of customer documents including, but not limited to: quotations, invoices and booking confirmations, product vouchers and itineraries. The wording of these documents is set up and managed by your own team and can be changed as you wish. We also support documentation in different languages for different sales markets.

A wide variety of supplier reports can be generated in BM. Examples include: rooming lists, transport and ground handler manifests. The reports can be generated for viewing in a browser.

The reporting facility combines the product, booking and financial data within Sell-It Reservator to produce a comprehensive set of standard management reports. These include various booking sumaries, bookings by call centre agent and by travel agency or agency group and accommodation sales snalysis. Additional bespoke reports are available.

The reports can be generated for viewing on screen, printed or exported into other applications for further analysis.

Operational Workflow

Not all mid-office activities can be carried out immediately, nor are they all handled by the same person. BM’s workflow manager therefore includes the ability to set up and manage queues (work lists) which have work items assigned to them e.g. a ‘ticketing’ or “on request” queue.

Work items are added to queues by operators or the system itself in order to track operations that need human intervention. Other users (or the system itself) are then able to monitor these queues for pending work items. In the process of completing a task, an operator can generate other tasks that they then place onto other queues.

An optional GDS link allows for the sale of scheduled flights using published fares or for real-time availability checks to be made against specific negotiated fare booking classes for on specific flights prior to making a booking. A PNR is generated in the GDS as part of the booking process and is then available for subsequent ticketing in accordance with loaded ticketing rules.

An optional low-cost carrier and charter link provides access to a large number of LCCs and charter operators for real-time availability, pricing and booking.

An optional Eurostar link enables the sale of Eurostar and connecting trains. The system supports the sale of both published i.e. public and negotiated fares with specific limited allocations. A confirmed booking is made in the Eurostar system as part of the BM booking process.

An optional ferry link provides access to a number of ferry operators for real time pricing, availablility and booking.

Sell-It Reservator has been designed to support the sale of inventory stored in external systems e.g. receptive tour operator systems, bed bank suppliers and other wholesalers using the supplier’s “host-to-host” links. This inventory can then be marked up as desired and sold individually or blended with other inventory (either contracted or real-time).

BM requests to bed banks are for a specific party make-up and can provide availability results and prices for all available hotels in a resort, just for specific start ratings, or for a one specific hotel.
